Vehicle Delivery, Tags, Title & Registration - New & used

Delivery of the vehicle should be coordinated by the Receiving Department and the responsible department.

When the department takes physical delivery of the vehicle, the vendor is required to provide the department with Certificate of Origin (new vehicles) or Certificate of Title (used vehicles).  Immediately, after delivery, copies of the Certificate of Origin or Certificate of Title must be sent to Fleet Operations for processing, registration and plates. The department will not receive registration or plates if this step is not completed.

Upon delivery receipt of the vehicle; the following steps must be completed within 5 business days.

  • Contact Fleet Operations for License and Registration coordination.
  • Apply for a fuel key fob if required (see key fob tab)
  • Notify Accounts Payable that the vehicle has been delivered.
  • Contact Risk Management for vehicle insurance (see vehicle insurance tab) 
  • Send the following information to UTFleetOps@utoledo.edu
  1. Copy of the Window Sticker or documentation with VIN# displayed.
  2. Driver's Name
  3. Manager's Name
  4. Fiscal Manager
  • Order Signage for the vehicle (see vehicle signage)

All costs associated with plates or registration of vehicles will be billed back to the responsible department index.

Vehicle Delivery, tags, title & registration - leased 

A copy of the following must be provided to Fleet Operations in order to request State plates.

  • Original Title
  • Power of Attorney Documentation
  • Lease Quote
  • Current Lease Schedule

All costs associated with plates or registration of vehicles will be billed back to the responsible department index.
