Advertising Your Events

Successfully advertising your event at UT can be a daunting task. Utilize these tips to help get the word out.

INformation to include

  • Date, time, and location (and back up location if necessary)
  • Name of sponsoring student organization(s)
  • Contact information (e-mail address or phone number) in case someone has questions about the event
  • Cost or admission fee (if applicable)

Large Publicity Requests

Please complete the  Publicity Applicationon InvoNet:

    • Student Union Glass Display Cases
    • Student Union Glass-Covered Bulletin Boards
    • Banners in the Atrium of the SU (above Starbucks)

FLYERS

Student organizations can bring their flyers to the Office of Student Involvement & Leadership (Student Union, room 1532) for guidance on marketing best practices. Students can then post flyers on designated boards in the Student Union or bring them to OSIL for posting.

For posting in residence halls, please take flyers to the Office of Residence Life located next to Ottawa West. Flyers will be reviewed by the Assistant Director of Residential Marketing and Housing and then given to hall directors to post. Reach out to Residence Life at 419.530.2941 or ResidenceLife@utoledo.edu with additional questions. Flyer counts for each hall are listed below. Count out each per hall/house, paper clip, and label with a note on each stack before taking to Ottawa West.

Your flyers may be posted on bulletin boards in other buildings on campus as well. Please check with the office closest to the bulletin board you are looking to post on for their guidelines and procedures for posting.

Tabling 

Reserve a table in the Student Union by filling out a Table Reservation Request. These are managed by the Student Union Main Office (SU 2525). Requests must be submitted a minimum of 28 days prior to the date of desired reservation. Maximum reservations per organization are 2 days per week for 2 consecutive weeks.

Chalking

  • Sidewalk chalk may only be done on outdoor horizontal spaces that are not under an overhang.
  • Chalking is not allowed on any vertical spaces such as walls, columns, etc. 
  • Sidewalk chalk may not be used on the center plaza of Centennial Mall. 

Emails

As a registered student organization, you may request permission to send a targeted email to a specific group of students (defined by age, class, major, etc.). To do so, please complete the Directory Information Request. The staff will oversee obtaining the list and the sending of your announcement.
(limit one email blast per semester)

Napkin Holders 

Advertising in the napkin holders in campus dining halls is available to campus organizations by emailing their request to mealplan@utoledo.edu no later than 3 weeks prior to their desired placement date. 

The slot size for ads in the napkin holders is 6 ½” w x 4 ½” h. There are roughly 230 napkin holders between South Dining, SU Food Court, Steak ‘n Shake and Ottawa East Dining. Artwork must be submitted to mealplan@utoledo.edu no later than one week prior to confirmed placement date. 

Requests are processed on a first come, first served basis, so the earlier the request received, the better. Once approved, insertion of ads is the responsibility of the organization, not UT Dining, and is limited to one side in each holder.
