Interns, Externs, and Shadows at UTMC
UTMC and its associated clinics and facilities offer clinical learnership opportunities for students to assist their academic requirements/goals. Externships are approved after the Compliance Department confirms that an updated Academic Affiliation Agreement is in place between the students educational institution and UTMC. Please note that based on the Affiliation Agreement process, student placement may be delayed.
Shadow Students Enrollment – Individuals interested in shadowing a healthcare professional in action, or completing high school service hours, are required to complete the Shadow Acceptance Form and register with the Institutional Compliance Department. The applicant’s responsibility is to secure a host, schedule specific visit dates and document total hours on campus and obtain their host’s signature. In addition, applicants must review general safety and health information, provide proof of a TB test and all immunizations within the past twelve months, and sign a confidentiality statement. The host assumes full responsibility for the volunteer in their charge.
Internship/Externship Enrollment - Individuals interested in interning or externing a healthcare professional in action are required to complete all documentation with the Institutional Compliance Office and complete all requirements. Program participants must be sponsored by and under contract with an accredited institution.

Individuals seeking a placement within a department as an intern, extern or shadow need to first work with the department to receive approval for the placement. It is the responsibility of the individual seeking this placement to receive approval from the department prior to moving forward in the process. The Compliance office is working alongside the Volunteer Services office to support the onboarding of interns, externs, and shadows desiring an experience at UTMC or one of its clinics. The various risks associated with COVID had necessitated our suspending shadowing and making some modifications in the internship/externship space, but it is our hope that we will be able to reinstate them by the end of April, barring any unforeseen change in COVID restrictions.
Once we are able to resume operations, we will share revised policy and procedures in this area. Among the changes will be:
- Onboarding of interns, externs, and shadows on UTMC property will be facilitated by the Compliance Office. All other forms of volunteers at UTMC and its clinics will continue to be facilitated by Jennifer Archer and the Volunteer Services Office. Add third prong (research volunteers)....
- All interns, externs, and shadows must be supervised by an employee host, who will make the request of the Compliance Office for onboarding assistance. The Compliance Office will coordinate with the host throughout the onboarding process, and the host will in turn coordinate and communicate with the intern/extern/shadow.
- Prior to submitting the request, the host will obtain the approval of a sponsor, typically an academic department chair, or a UTMC administrative director.
- All hosts and sponsors of minors (i.e., under age 18) will be required to complete the University’s Minors On Campus online course (“Protecting Youth”), the first time s/he requests the onboarding of a minor intern/extern/shadow. For your convenience, we will be assigning you the course in the coming days, should you wish to complete the course early.
