How to Accept, Approve or Deny Keys Online

ACCEPTANCE

Most keys will require “Acceptance” before being officially approved. When the request is submitted, an email notice will send to the individual listed as supervisor for the requester. The request must be accepted first, and will then send onto the departmental approver.

APPROVAL

Once key Request is “Accepted” email notification will be sent to the individual listed as departmental approver.

DENIAL (REJECT)

Keys can be denied (rejected) during the Acceptance or Approval Process. Once denied (rejected), notice is returned to the requester, ending the approval process.

*Acceptance and Approval may be required by the same individual, depending on role within department. In these cases, key 
acceptance and approval is completed in one process.

The email will contain information and the link to our key requesting software. Sign in with your UTAD at https://keyrequest.utoledo.edu. You are required to be on a campus computer or signed into VPN if accessing remotely.

Click on “Requests & Orders” located in the top banner of your page.

You will see a list of key requests. 

  1. NEW = Keys waiting for your approval or rejection
  2. CURRENT KEY REQUESTS = Requests already approved or rejected.
  3. You can view details of each key request and approve/reject by following these steps:
  4. Click the number of the Key Request to view details of the keys being requested.
  5. At the bottom, click to Approve or Reject the key. Click close to return to list without decision.
  6. Once completed, the request and its status will appear in the Current Key Requests list. 
  7. Approval notice will be sent to the Locksmith to prepare for Key Issuance.
  8. The Approval Process is complete.

Request > *Acceptance > *Approval > Locksmith > Pick Up

If you do not receive an email and need to accept or approve a key, enter https://keyrequest.utoledo.edu in the address bar of your chosen browser and follow the steps above.

If you did not receive an email notification, you can type the address above directly into your browser. Log in with your UTAD, and follow the instructions above
