With Word on your PC, Mac, or mobile device, you can:


Create, open, and rename a document

  1. Sign in to office365.utoledo.edu and select Word in the Office 365 App Launcher.The app launcher icon in Office 365 
  2. Select New blank document, open a Recent file or select one of the templates
  3. To name or rename the document, select the title at the top and type a name.

Your changes are saved automatically in Word Online. Note: If you can’t edit the name, you’re probably in Reading View. Select Edit Document > Edit in Browser.

  Add pictures, online pictures, and tables

  1. Select the INSERT tab. 
  2. Select what you want to insert:
    • Table - select Table and then select the table size you want. 
    • Picture - select Picture, browse for the picture you want and select Open
    • Online Pictures - select Online Pictures, select a stock photo or search for an image on Bing, and select Insert.

Share your document

  1. Select Share
  2. Select who you want to share with from the drop-down. Allow editing is automatically checked. Uncheck this if you only want to give permission to view the file, not edit it. Select Apply
  3. Enter the names or email addresses of who to share with. 
  4. Add a message (optional). 
  5. Select Send or select Copy link to get a link to the file.

  Co-edit a document

After you share your document, you and others can work on it at the same time.

  • To see changes in real time, work together in Word Online. 
  • Under Share, you'll see who is also editing the file. 
  • Colored flags will show you exactly where in the document each person is working.

Add a comment

  • Select REVIEW > New Comment, or right-click in your document and select New Comment. A comment bubble Comment bubble appears in the document where there's a note. 
  • Type a comment and select Post.

Reply to, complete, or delete a comment

  • Reply: Select Reply Reply to comment . 
  • Complete: Select Mark as DoneMark as Done . 
  • Delete Comment: Select X or REVIEW > Delete Comment.

  • Select Show Comments to display all comments in a document. 
  • Select Previous or Next to move between comments.

Chat in a document

If another person is editing the file at the same time, you can chat with them.

  1. Select Chat
  2. Type a message and press Enter.

The conversation will not be saved when you close the file.
