UT Computer Lease Program

The University has started a subscription lease program with Dell for employee computer usage. The intent of the program is to manage large computer refresh purchases and cost with an annual subscription expense and ensure machines are refreshed and updated on a regular cadence. Future annual computer refreshes will utilize our Dell subscription lease program for Windows desktops and laptops.

Q: What does it mean that these machines are leased?
A: Leased/subscription machines will be required to be returned to the vendor after the length of the contract. 

Q: What items are being leased and what needs to be returned?
A: Currently the computer and peripherals (keyboard and mouse) are included. Future subscription purchases may just include the computer.

Q: How long is the lease?
A: The initial lease/subscription is for 48 months (4 years).

Q: What happens at the end of the lease?
A: The computer will be swapped for a new computer.

Q: Will these machines still have hardware support?
A: These machines will have a 4-year hardware warranty, but it won’t cover accidental damages (if the computer is dropped/damaged or something is spilled on it).

Q: What happens if the users damage the machine? Who is responsible and what is the cost?
A: The user’s department is responsible for covering the cost of the damage.

Q: Can I customize the equipment with stickers or labels?
A: Stickers/labels are not allowed on the keyboards, the computer, or the computer screen (Only UT Leased Property Labels issued by IT are allowed). If stickers and labels are put on these devices the department will be responsible for removing them and there might be an additional cost.

Q: Are there limitations on what software can be installed on these machines?
A: These machines will follow our standard imaging/deployment process and will have the standard software needed to do your job.

Q: Can the hardware specs (memory or hard drive) be modified?
A: Yes, your department will be responsible for covering the cost of these upgrades. The equipment will be returned with these upgrades, and the department won’t get reimbursed.

Q: What happens at the end of the lease/subscription?
A: The computer will be swapped for a new computer.

Q: At the end of the lease/subscription, when the equipment is returned to Dell, will the data from the hard drive be removed first?
A: Yes, the University will be responsible for removing the data from the machine before its returned to Dell.
