Student Organization Event Checklist

1. Pre Planning/General Considerations for Events

Before extending ANY invitations to outside speakers, or scheduling a meeting, please discuss a proposed date/time with your group's Faculty Advisor. That should occur a minimum of three weeks in advance of the intended program (earlier if you are including outside speakers or guests). Organizations may be asked to coordinate with other student organizations or College of Law departments if they propose similar events.

You must communicate with other departments to evaluate your request:

  • Contact Katie Schuyler in the Office of Professional Development at kate.schuyler@utoledo.edu if your event is career, employment, or networking opportunity related. If you are seeking PDP approval for your event, please contact Katie as well to discuss if your event would fit the criteria. 
  • Events in the auditorium and events seeking A/V assistance may not be approved if staff is not available on requested date. Please email rick.goheen@utoledo.edu from the library to discuss your event needs if they will be in the auditorium.
  • Contact sandra.brazeau@utoledo.edu to hold a date/time/room. This is not an official approval of event, just a hold until webform is received. 

2. Submit webform

Complete student org event request webform with proposed event details as soon as possible after communicating with the departments above if applicable (at least 2 weeks in advance, earlier if inviting outside speakers or guests).

  • Organizations may be asked to coordinate with other student organizations or College of Law departments if they propose similar events.
  • We will review your request and communicate with other departments to evaluate your request.
    • Events seeking A/V assistance may not be approved if staff is not available on requested date.
    • Office of Professional Development will be in contact if your event is career-related or if you requested assistance of OPD for your event.

3. Receive approval via email 

If your event is approved, you will receive an email from Sandra Brazeau. 

4. Publicize details about your event

  • Notify SBA for promotion in their newsletter.
  • Send out e-mails to student organization members, social media posts, flyers, other promotions.
  • Your event will be forwarded to the College of Law Communications department. Communications will review your request and will be in contact with you if further information is needed. Placement or promotion methods cannot be guaranteed. Professional development speakers, panels, and learning experiences will receive higher priority than social events. Student org general meetings will not be publicized unless it is the first meeting of the semester.
