Art Student Showcase Policies

About the Showcase

  • The Showcase is an annual event held at the Carlson Library. The primary purpose is to showcase visual art by students at the University of Toledo.   

Artists and Artwork   

  • The deadline for submissions is October 15.  
  • Artists are required to submit information about their artwork, including images, via an online submission form located on the library website. 
  • Artists may submit up to 3 pieces for consideration, although only one may be selected.     

Eligible Participants

  • Undergraduate and Graduate University art students.      

Eligible Artwork

  • Art is not required to adhere to any specific theme or style. 
  • Two-dimensional (painting, photography, drawing, etc.) and three-dimensional (sculpture, ceramics, pottery, etc.) works are eligible. 
  • Digital media is eligible if it is compatible with library technology. 

Selecting Artwork

  • The Showcase Committee meets within a week following the Submission deadline to discuss and select artwork. 
  • The Committee may select a maximum of one piece per artist to be displayed in the Showcase.  
  • No later than one week after the submission deadline, artists are e-mailed directly by the Events Coordinator, or committee member, to notify them which piece has been selected. 

Collecting Artwork from Artists

Scheduling 

  • Drop off dates should be scheduled over a one week period, generally two weeks before the first day of the Showcase.   
  • Participants are required to schedule a drop off time via Calendly.   
  • When artists arrive for their scheduled appointment to drop off work, they have been instructed to go to the circulation desk and ask for the events coordinator, who will meet them there.      

Artwork Ready to Hang

  • The library is not responsible for providing hanging/framing materials of 2-dimensional artwork. 
  • When artists bring in their artwork, it must be ready to hang.  Artists are notified of this policy in their acceptance e-mail.

Waiver of Liability Form

  • All artists are required to sign an exhibition contract at the time of drop off.  

Storage of Artwork

  • Artwork is stored in a locked, non-public office in the Carlson Library that can only be accessed by staff.
  • Care is taken to ensure that artwork is secure and that pieces are not stacked upon one another to prevent any damage.

Disassembling the Showcase

  • The Committee takes down the artwork following the last day of the Showcase. 
  • Artwork is safely stored in a locked, non-public office that can only be accessed by library staff. 
  • Care is taken to ensure that artwork is secure and that pieces are not stacked upon one another to prevent any damage. 

Returning Artwork to Artists

Scheduling 

  • One week prior to the end of the Showcase, the Events Coordinator or Committee member emails a notification to all artists with instructions for scheduling a time to pick-up their artwork.
  • Appointments are scheduled over a 2-week period using Calendly web scheduling.  
  • When artists arrive for their scheduled appointment to pick up work, they have been instructed to go to the circulation desk and ask for the events coordinator, who will meet them there.      
  • Reminder e-mails are sent to all artists who do not pick up their artwork. 
  • Works are considered abandoned 30 days after the close of the exhibition.
