Advisor Communication and Appointments
Who is my advisor and how do I contact them?
Students are assigned a primary professional advisor. Advisor contact information
is available in university systems such as the Student Profile and Launch Point (Navigate
360).
How often should I meet with my advisor?
Students are encouraged to meet with their advisor at least once each semester and
anytime they have questions or concerns.
How long does it take to hear back from my advisor?
Students can expect a response to email inquiries within 24–48 business hours, excluding
weekends and university closures.
How do I schedule an appointment with my advisor?
Appointments can be scheduled through Navigate 360 or by contacting the Academic Advising
Center at 419.530.4444.
What should I bring to an advising appointment?
Students should come prepared with questions, any scheduling conflicts that need worked
around (work/personal schedule) and a list of courses they are considering.
What if I need to cancel or reschedule my appointment?
Students should cancel or reschedule their appointment as soon as possible through
Navigate 360 or by notifying the Academic Advising Center 419.530.4444.
What happens if I miss an advising appointment?
Students who miss an appointment should contact the Academic Advising Center at 419.530.4444
to reschedule.
Can I meet with an advisor other than my assigned advisor?
While your assigned advisor is your primary contact, other advisors may be available
depending on scheduling or specific needs. Please reach out to the Academic Advising
Center at 419.530.4444 or advising@utoledo.edu.
Registration and Academic Planning
Can my advisor register me for classes?
Advisors provide guidance, but students are responsible for registering for their
own courses and meeting deadlines.
How do I prepare for course registration?
Students should review their degree audit, meet with their advisor if needed, and
plan courses in advance of registration opening.
Can my advisor help me balance my course load?
Yes, advisors can help you select a manageable schedule based on your academic goals
and commitments.
What is a plan of study and why is it important?
A plan of study maps out courses needed to graduate on time and helps ensure you meet
all degree requirements.
What is a degree audit and how do I access it?
A degree audit outlines your progress toward completing your program. It is available
in your myUT portal on the student tab.
Academic Progress and Policies
What is the difference between a drop and a withdrawal?
Dropping a course typically occurs early in the semester without academic penalty,
while withdrawing happens later and may appear on your transcript.
What is a hold on my account and how do I remove it?
A hold may prevent registration or other actions. Students should check their account
and contact the appropriate office for next steps.
What should I do if I’m concerned about my academic standing (academic alert, academic
warning, academic suspension)?
Students should meet with their advisor and academic success programs manager to develop
a plan for academic improvement and review available support resources.
Will my advisor remind me of deadlines?
While advisors may provide reminders, students are responsible for tracking and meeting
all university deadlines.
Majors, Minors and Academic Changes
Can my advisor help me choose a major or minor?
Yes, advisors can help you explore academic options and connect you with resources
to make informed decisions. Students are encouraged to connect with their Career
Consultant over in the Rocket Career Center for additional support.
What if I want to change my major?
Students should meet with their advisor to discuss the process, implications, and
next steps for changing majors.
How do I know if a class will transfer to my program?
Your advisor can review transfer credits and help determine how they apply to your
degree requirements.
Graduation and Career Planning
How do I apply for graduation?
Students should apply through the university’s graduation application process via
the myUT portal and confirm eligibility with their advisor.
Can advisors help with career planning?
Advisors can provide general guidance and refer students to Rocket Career Center for more in-depth career exploration.
Support and Student Resources
What should I do if I’m struggling academically or personally?
Students should reach out to their advisor as soon as possible. Advisors can help
connect students with academic, financial, or personal support resources.
How do I find campus resources like tutoring or counseling?
Advisors can connect students to campus services, or students can access these resources
through the university website.
What if I need help outside regular business hours?
Students can use online resources, planning tools, and campus support services that
may have extended hours.
Privacy and Policies
Can my advisor talk to my parent or guardian?
Due to FERPA, advisors can only discuss academic information directly with students
unless written pre-authorization is provided.
What is FERPA and how does it affect me as a student?
FERPA (Family Educational Rights and Privacy Act) protects the privacy of student
educational records and gives students control over who can access their information.
Is my conversation with my advisor confidential?
Advisors respect student privacy; however, certain information may need to be shared
with appropriate university offices if there is a concern for safety or well-being
as academic advisors are considered mandated reporters.
Are advising notes part of my educational record?
Yes, advising notes may be part of a student’s educational record and are protected
under FERPA.
How do I update my personal information (name, address, etc.)?
Students should update their information through the myUT portal or with the appropriate university office.
Can I request to see my advising records or notes?
Yes, students have the right to review their educational records by following the
university’s record request process. Students can access their advising notes via
the Navigate360 app.
What happens if there is a safety concern shared during advising?
Advisors may be required to report certain concerns (such as threats to self or others)
to ensure student safety and connect students to appropriate support.
