About the Graduate Research Awards

Graduate Research Awards are mini-grants awarded to a number of students by the Graduate Student Association to fund a portion of their research required by their degree programs.

Requirements for Eligibility

  • UToledo Master’s and Doctoral Students in academic good standing (Graduate Certificate, JD, MD, & PharmD programs are not eligible.)
  • Must be enrolled in a research course (thesis, dissertation, scholarly project, or field experience) during the Spring 2026 academic semester that is part of an approved Plan of Study on file with the College of Graduate Studies
  • Must have approvals for research involving human subjects, animals, radioactive or biohazardous substances as appropriate
  • Research advisor must approve of the proposed research and associated expenditures
  • Applicants may not submit more than one GSA Graduate Research Award proposal per academic year
  • Previous award winners are not eligible to reapply if they change their academic degree or major without graduating. To be eligible again, a previous winner must have graduated from their previous degree program and be enrolled in a new degree program.

Examples of Approved and Unapproved Uses of Graduate Research Award Funding

The following are examples of expenses Graduate Research Award funding can be used for:

  • Printing and presentation materials
  • Interview transcription services
  • Survey tools or software licenses
  • Gift cards as participant incentives
  • Laboratory equipment
  • Recording equipment
  • Fieldwork tools

The following are examples of expenses Graduate Research Award funding can NOT be used for (this list in not exhaustive):

  • Tuition expenses
  • Stipend expenses (including both student and research participants)
  • Travel expenses
  • General use technology or equipment such as computers
  • Excessive participant incentives
  • Donations or gifts
  • Gift cards for purposes outside of participant incentives

How to Apply

Here's a quick guide on how to apply!

1. Complete the application information.

Click here for the InvoNet application! In this application, you will need to provide your information, your research advisor's information, and information about your academic program.

2. Attach your Project Proposal.

This is a 1500-word summary that includes the following:

    1. Title
    2. Purpose
    3. Significance
    4. Methods
    5. Preliminary results if available
    6. Reference section (not counted toward the 1500-word count)

The student submitting the graduate research award proposal should keep in mind that most, if not all, of the proposal reviewers will not be conversant with the student’s research discipline. For a more highly competitive application, avoid discipline-specific scientific jargon and acronyms. If the reviewers cannot understand your proposal, it will not be scored competitively.

3. Attach your Project Budget.

The budget total request may be any dollar amount up to $2,000 for all the GSA members and up to $2,200 for an active GSA member and/or a College Representative for GSA. You will need to upload a proposed budget with the items requested, justifications, and requested amounts.

4. Attach your Funding Sources.

This is a document listing all the other sources of funding for your research, including intramural and extramural funds.

5. Your advisor must send us a Letter of Support.

Your research advisor must send a Letter of Support to us at gradsuccess@utoledo.edu (Letters of Support sent to other inboxes or emails will not be received). 

The letter must be in Word Document or PDF form, signed by your advisor, and include the following information:

  • Student is making progress toward degree completion.
  • Student is in good academic standing.
  • The research project is approved and monitored by the research advisor.
  • The research is part of dissertation, thesis, scholarly project, or field experience required for degree completion.
  • The budget request is appropriate.
  • The research advisor is willing and able to provide oversight of the expenditure of the awarded funds.

6. Ensure additional documents below are submitted.

If the below is not already on file, you will need to submit the following to gradsuccess@utoledo.edu:

  • Your Plan of Study if your program uses paper Plans of Study
  • If you are conducting any research involving human subjects, animals, biohazardous subtances, or radioactive substances:
    • GRAD form if your program is required to submit this by COGS (Graduate Research Advisory Committee Approval & Assurances form) 
    • OR evidence of approvals for your research if your program does not submit a GRAD form

The College of Graduate Studies will not reach out to you if any materials are missing from your application. Any missing materials will result in your application being considered incomplete and ineligible for review.

Application Review Process & Rubric

Applications will be reviewed by the Graduate Student Affairs Committee of the Graduate Council.  The award will be made on a competitive basis.

Once recipients have been selected, the College of Graduate Studies will notify all applicants of the result of their application via Rockets email. Recipients will have until early May to spend award funds.

Tips for Applicants

  • Start as early as possible: Begin gathering your application materials as early as possible. Preparing your materials is the biggest part of completing this application.
  • Consider timeline: Read the requirements carefully. This will help you determine a timeline for gathering and preparing your application materials.
  • Connect with COGS: Reach out to the College of Graduate Studies if you have any questions on any requirements and if you are unsure if your required documents are on file. 
  • Connect with your advisor: Reach out to your advisor for their assistance as soon as possible. We recommend sending them this webpage as well.
