Beginning tips for using CIM:

  • Throughout the CIM forms, there are question marks inside blue circles. These are help bubbles.   help bubbleClick or hover over the icon to display additional help information/tips.
  • A field with a red box around it is a required field.
  • In fields that ask for a typed answer, you may copy and paste an answer from another document, such as a Word document, to save time. Please note that some formatting may be lost.
  • Once logged into CIM, you may access help resources and videos throughout the site by clicking on the "help" icon.

Q:  What is the best web browser to use?

A:  We recommend using Chrome or Firefox for best performance.

Q:  Are there terms in CIM that differ from common UToledo usage?

A:  We have uncovered a few such terms.  Please email us if you have further questions.

"Inactive" = "Inactive."  If you are working in CIM and see that a course has been "inactivated," this means only that the course has been given an Inactive status in Banner and cannot be offered until reactivated. We do not delete courses from Banner. You may see CIM refer to inactive courses as deleted in CIM reports.

"Edited" = "Modify."  If you are looking to modify a course or a program, look for the "Edit" option.

"Added" = "New."  If you want to propose a new course or program, you will need to "Add" that proposal.

Q:  How do I cancel a proposal and return the course/program to its initial state?

A:  Email CurriculumTracking@utoledo.edu or contact Cathy Zimmer in the Office of the Provost (419.530.3202) to request that the proposal be "shredded." Shredded proposals are simply removed from the system.  Users can subsequently enter new proposals involving the same course or program if they want to do so.

Q:  How do I make courses or programs Inactive, or reactivate courses or programs that are inactive?

A:  Select the relevant CIM form and the course or proposal, and click the  inactivate button or reactivate buttonbutton.  When inactivating a course, the workflow will only require the department chair and Office of the Provost approval before the Office of the Registrar makes it official in Banner.  When reactivating a course, the full workflow of approvals for the college and the university will be followed.  

Program Development Guidelines:  The process and outline for developing new programs and certificates  at The University of Toledo, for both undergraduate and graduate levels.  You will also find the process for program suspension of admissions via CIM inactivation request (not longer accepting majors).

Q: How do I propose a new course number?

A:  Contact the Office of the Registrar at registrar@utoledo.edu before proposing new numerical codes.  If you are modifying a course, do not change the course's number without prior discussion with the Registrar's Office and, where needed, the Office of the Provost.  Changing course numbers of existing courses impacts systems across campus and should be avoided.  Course numbers cannot be reused for new courses except in exceptional circumstances.  Please contact the Registrar's Office for more information.

Q:  How do I enter Prerequisites, Corequisites, and Restrictions?

A: Prerequisites can only consist of a course or a test score that is required to be successfully completed before entry into a course.

  • In CIM, list all prerequisites (courses and test scores) in the order they should be applied. Review the issue of the logic – ANDs and ORs must be grouped appropriately. (i.e. COURSE 1 AND COURSE 2 OR COURSE 3 vs. (COURSE 1 AND COURSE 2) OR COURSE 3 vs. COURSE 1 AND (COURSE 2 OR COURSE 3)
  • Indicate a specific grade to be achieved for each prerequisite course. If not, the system defaults to a D- for undergraduate courses and to a C for graduate courses unless otherwise indicated.

Prerequisite Examples:

ACCT 3120 with a minimum grade of C or ACCT 5120 with a minimum grade of C and ACCT 3210 with a minimum grade of C

CRIM 6000 with a minimum grade of D- and CRIM 6200 with a minimum grade of D- and CRIM 6400 with a minimum grade of D-

For co-listed courses at undergraduate and graduate level, be sure to include prerequisites for both levels. If no specific graduate prerequisites are necessary, then note "acceptance into the graduate program or graduate standing".

ENGL 1100 with a minimum grade of D- or ENGL 1110 with a minimum grade of D- or HON 1010 with a minimum grade of D-

BIOL 2010 with a minimum grade of C or CHEM 1090 with a minimum grade of C or CHEM 1230 with a minimum grade of C or ACT Composite with a score of 21 or BIOL 2170 with a minimum grade of C or Aleks Chem Placement with a score of 50

Corequisite Example: Corequisites are courses taken during the same semester as the primary course. (i.e. MIME 3330 and MIME 3310)

Registration Restriction Examples:  Business majors only.  Junior rank only.

Q:  How do I modify or propose Co-List/Cross-List Courses?

A:  Co-List/Cross-List Courses are edited together on one form.  You can enter modifications for all versions of the course in one proposal.  New courses can be proposed as cross-listed or co-listed using one proposal form.  For co-listed courses, syllabi for both levels need to be attached to the proposal form (one for each level being proposed).

Co-listed courses are courses at different levels of instruction (e.g. 4xxx/6xxx). Cross-listed courses are courses at the same level with different subject codes (e.g. COMM 4260/LST 4900).

Q:  What is a CIP Code?  How do I request a CIP Code change?

A:  The Classification of Instructional Programs (CIP) is a federal code system of instructional programs that facilitates the organization, collection, and reporting of data on fields of study and programs that was developed by the U.S. Department of Education's National Center for Education Statistics (NCES).

Contact the Office of the Provost (provost@utoledo.edu) to request a CIP Code change.  Any proposed CIP Code changes would occur at the end of a term.

 Q:  What do the action buttons on the forms do?

A:  After completing a form, select one of the following:
action buttons

  • Cancel if you do not want to save any data in your form.  This option will return you to the previous screen.  You will lose all of your work. The form will not be submitted to Workflow.
  • Save Changes if you want to save your work and come back to the form at a later time.  This option does NOT submit the proposed changes to workflow and will allow you to save without filling out all of the required fields.  Your work will be saved until you return.
  • Start Workflow to save and submit all changes for approval.  ALL required fields must be filled out before the proposal can be submitted. When you hit this button, the form saves and notifies the next person in the approval process.   The next user in the approval process receives an automated email explaining that they can now review, edit, approve, or reject the course proposal.

Q:  How can I see where my proposal is in workflow?

A: Once a proposal is moved into Workflow  start workflow button , you are able to see the steps in the Workflow on the right side of the proposal along with the Approval Path. This workflow cannot be bypassed.  Hover your curser over the approver role to send them an email or nudge them to approve.

Q:  How do I update the names of faculty responsible for workflow steps?

A:  Contact Cathy Zimmer in the Office of the Provost at 419.530.3020 or cathy.zimmer@utoledo.edu to have a Workflow role updated.

Q:  How do I add UToledo Core requirements to a plan of study?

A:   Below are the preferred ways to list UToledo Core requirements in a plan of study:

Arts/Humanities Core
Social Sciences Core
Natural Sciences Core
Natural Sciences Core Laboratory
Core Elective

Diversity of US
Non‐US Diversity

Elective    (not free elective or general elective)
Elective - Major or Minor (okay to note)
Specific listings are also acceptable:   Arts/Humanities Core (History) or ENGL 2710-2800 Arts/Humanities Core (English Lit)

Q:  How should program names for certificates and minors be entered?

A:  Add the word "Minor" or "Certificate" at the end of the program name.  For example: Higher Education Administration Certificate or Theatre Design & Technology Minor  

Q: What does the error message "course code is not unique" mean?

A:  That message is alerting you that a course with that subject code and course number already exist.  If a new course, you will need to request a new course number from the office of the registrar at registrar@utoledo.edu.  If you are modifying a course, you will want to pull up that course proposal in CIM and make your edits/modifications.

Q.  How do I request a program name change?

A:  For Program Name Change - Email Vice Provost for Academic Affairs Scott Molitor (scott.molitor@utoledo.edu) with the following: 

  • A rational for name change request
  • How many students do you currently have in each of these majors?
  • When is the last time the department changed the names of its majors, and how far in the future would you anticipate doing so again.
