Scribe Program - Officer Descriptions

Executive Director: This position is non-electable, it is appointed to the co-creator of the program, and is the head of the Board of Directors. This individual is responsible for oversight of the entire program, and will work with the Associate Director(s), President, and Vice-President when making plans and decisions about the global nature and future of the program. This person will attend all meetings with administrative members of our and other interested institutions. Additionally, this individual must be involved in all research projects undertaken by the program.
Associate Director(s): This position is non-electable, it is appointed to the co-creator of the program and is a member of the Board of Directors. Additionally, other Associate Directors may be appointed by the Executive Director and current Associate Director(s) if an individual shows remarkable leadership and strong commitment to the future of the program. The Associate Director(s) will also make decisions about the global nature of the program and will accompany the Executive Director to all meetings with administrative members of our and other interested institutions. Furthermore, the Associate Director(s) must be involved in all research projects undertaken by the program.
President: This position will be filled by an individual via election on an annual basis. Individuals eligible for this position must first have been elected as Chair of their respective department. This individual will be responsible for the management of current operations of all the departments in the program. This individual will communicate with other Chairs of departments on a regular basis to ensure each department is operating smoothly. In addition, this individual will work with the Board of Directors when determining plans for the future of the program. Moreover, this individual will work closely with the Vice-President in coordinating and working on research projects undertaken by the program.
Vice-President: This position will be filled by an individual via election on an annual basis. Individuals eligible for this position must first have been elected as Chair or Vice-Chair of their respective department. This individual will work with the President in the management of the current operations of all the departments in the program. This individual will take charge in developing new research opportunities and working with the President and Board of Directors in publishing and presenting research projects. This individual will also work with Chairs and Vice-Chairs of departments that have ongoing research projects.
Chair of Department: This position will be filled by an individual via election on an annual basis. This person will oversee the operations of their specific department. They will be responsible for communicating with the physicians in the department and ensuring all Scribe objectives and tasks are being met. The Chair will also be tasked of maintaining detailed accounts of any meetings with physicians and documenting them appropriately. Additionally, this individual will be in charge of creating and developing research projects within their department and working with the Vice-President, President, and Board of Directors in executing the research. Furthermore, all Chairs will meet with the President on a regular basis to discuss the operations of their respective departments.
Vice-Chair of Department: This position will be filled by an individual via election on an annual basis. This person will coordinate with physicians and students and create a Scribe schedule on a monthly basis. This individual will also be responsible for maintaining a work log, documenting the hours each Scribe has worked in their respective department. Furthermore, this individual will monitor their department’s blog, to ensure all postings are HIPAA protected and that each Scribe is posting 48 hours after their shift. Additionally, this individual will work with the Chair in creating and developing research projects within their department.
Treasurer: This position will be filled by an individual via election on an annual basis. This
person cannot be a Chair or Vice-Chair of their department. This person will monitor
the program’s account and will be in charge of creating and coordinating fundraisers
throughout the year. This individual will work with the President, Vice-President,
and Board of Directors to ensure there are funds available for the program.Current
Treasurer: Kristen Craig
Admissions Chair: This position will be filled by an individual via election on an annual basis. This
person cannot be a Chair or Vice-Chair of their department. This person will be in
charge of distributing and accepting applications to interested students. Additionally,
this person will create evaluation sheets to be used by the interview committee during
the interview process. They will also be responsible for organizing interview times
and will be a member of the interview committee. This individual will also be tasked
in delivering acceptance and rejection notification after decisions are made by the
committee.
Publicist:This position will be filled by an individual via election on an annual basis. This person cannot be a Chair or Vice-Chair of their department. This individual will be responsible for promoting the program through a variety of manners, such as creating posters and flyers as well as updating and maintaining the Facebook page. This person will also be responsible for e-mailing the Office of Student Affairs if any announcements need to be sent out to the Medical School Class.
Webmaster: This position will be filled by an individual via election on an annual basis. This person cannot be a Chair or Vice-Chair of their department. This individual will be responsible for maintaining and updating the program website on the University of Toledo Student Programs Page. This individual will work with the President and Publicist to determine what information will need to be posted on the website.
Community Outreach Chair: This position will be filled by an individual via election on an annual basis. This person cannot be a Chair or Vice-Chair of their department. This individual will be responsible for determining what goodwill opportunities are available in the community for the program’s members to get involved with.
Risk Assessment Officer: This position will be filled by an individual via election on an annual basis. This person cannot be a Chair or Vice-Chair of their department. This individual is responsible for filling out all necessary paperwork required by the Office of Student Affairs regarding fundraisers or events conducted by the program.
