On-Campus Student Employment Compensation Plan

 

Statement of Purpose

On-campus student employment is a high-impact practice that offers the opportunity for students to earn extra income to help them during their college journey. If done correctly, institutions can provide education learning and engagement opportunities that can help develop critical competencies and help with retention and completion (NASPA, 2019). Student Employment has created an equitable hiring process consisting of accessibility to job postings, consistent language, and onboarding processes.   This program has been researched and is working towards greater efficiency and consistency with our peer universities. A well-written and updated job description is the basis for determining student-employment pay rates. Supervisors, managers, and administrators are encouraged to consider the complexity of the student work as defined below when determining job level for student positions. In addition, supervisors should consider the issue of pay equity with current student incumbents.

Definition of levels:

Entry Level I: 

Entry level position. Student is hired to assist and help with basic tasks around the office/department.

  • Work performed typically includes
    • Work assignments are completed under close supervision.
    • Procedures are well established.
    • No or minimal prior knowledge of work is required.

Basic Level II: 

A step above the entry level position. This covers the majority of the work our students perform. 

  • Work performed typically includes:
    • Prior knowledge of the type of work is required.
    • Training is provided
    • Follow well defined policies or procedures
    • May have access to confidential information
    • Workers are provided with more autonomy to get work accomplished.

Intermediate Level III:

The intermediate level positions are differentiated from the Basic Level positions because these positions require students to perform 4 or more of the duties listed below.  Some positions will provide leadership in the area of expertise. Positions work independently and can be highly technical in nature Student worker have at least 1 year of relevant work experience.

  • Work performed typically includes:
    • Prior relevant course and/or work experience
    • Assignments require special skills or knowledge
    • Technical or research skills may be required
    • Works with greater independence than lower-level positions
    • Acts as lead to other student employees
    • Requires a minimal level of supervision
    • Requires students to use a limited amount of independent judgment
    • A special certification may also be required
    • May require students to work in adverse conditions, unique hours or a significant amount of physical exertion is required

Advanced Level IV:

Positions in this category are extremely rare as they require a highly specialized skill held by a small percentage of the student body.  These positions require a student to be in good academic standing and they must meet the following requirements below. Student workers will have at least 3 years of substantial work experience.

  • Work performed requires:
    • Specific and unique competitive job market skills
    • Completion of specific relevant courses and/or work experience required
    • Assignments require advanced knowledge, skills or experience
    • Extensive problem solving; independent judgment and decision making; makes formal recommendations
    • Provides leadership to other student workers
    • Limited supervision/minimal supervision
    • A special certification may also be required
  • In addition to meeting the above requirements and advanced position still must meet the other requirements of Student Employment.
  • If you have a position that you want to pay higher than the Level IV maximum hourly rate for this positon, please submit a job description and detailed explanation for the pay rate. Student Employment and compensation will be reviewed to ensure it is a student position and not a professional position.

Pay Raises/Structured Pay Increases

Once a year departments can provide their student workers with one longevity increase up to but not exceeding .50 per hour.  In the event a department is looking to increase a student’s hourly wage beyond the maximum .50 longevity raise they will need to first submit a request along with an updated job description that highlights the increased duties their student will perform to on-campus student employment for approval.

Federal Work Study (FWS):

Financial Aid is responsible for setting the FWS pay rates.  Currently undergraduate students are paid at a rate of $10.10 an hour and Graduate Students are paid at an hourly rate of $12.00 an hour.  Departments who have both FWS and Non-FWS students should be paying students at the same rate of pay based on their jobs.  The additional funds above FWS will be paid out of the department’s budget by creating an additional Non-FWS ePAF to cover the difference. 

*We understand that different departments have different budgets and sources of funding.  Before hiring a student or offering them an increase in wages please ensure you have the proper funds available to pay your student.
